Enrolment Terms & Conditions

There are a number of terms and conditions that all parents and guardians should be aware of when enrolling their child in Bath Theatre School. Much of this information shouldn’t come as a surprise and can be found across our website. This important information is brought together below for clarity:

  • Confidentiality: All information gathered by Bath Theatre School will only be used for purposes related to Bath Theatre School and will not be passed or shared with any outside individual or organisation without the consent of the individual.

  • Activity Limitation – Joining Late in the Term: Although Bath Theatre School aims to make all opportunities available equally to all students, if a student joins part way through a term or misses classes for any reason, it may prevent them from taking full advantage of the activities available. Therefore Bath Theatre School reserves the right to limit involvement due to any form of absence. Examples include but are not limited to 1.For exams this may mean there is insufficient time to enter or rehears, resulting in a child not being ale to be put forward for a exam. 2. For the production children will only be able to be in scenes not already set. However, Bath Theatre School works hard to include newly enrolled children in as much as possible.  

  • Activity Limitation – Capacity:  Some activities, such as trips, may be restricted to a maximum number of participants. These opportunities will be made available on a first come first served basis.

  • Activity Limitation – Changes: Bath Theatre School will make every effort to adhere to the scheduled calendar and events throughout the year, however it reserves the right to change and/or cancel any event or activity. Bath Theatre School will give as much notice of any changes as soon as reasonably possible.

  • Opportunities: Bath Theatre School offers a broad and diverse range of opportunities which are based around an annual calendar. In order to get the full experience it is necessary to be a student for one complete academic year.

  • Payments: Termly fees must be paid in full prior to commencing lessons. Failure to pay following several reminders will result in your child’s place be offered to someone on our waiting list.

  • Trial Session: Prospective students are entitled to one trail session. However, if a student wishes to continue at Bath Theatre School the taster session and any remaining lessons must be paid in full. This payment should be made before or on the day of the next lesson.

  • Membership Cancellations: Bath Theatre School must receive at least 6 weeks notice for membership cancellation. Should a student leave within this period, the parent/guardian will be liable to pay for any remaining lessons. Bath Theatre School reserves the right to waive this period in exceptional circumstances.

  • Discipline: Should a student’s behaviour be repeatedly disruptive and this remains unresolved after working closely with parents/guardians to the rectify the issue, Bath Theatre School reserves the right to immediately remove any student.

  • Production – Participation: Bath Theatre School will do its best to feature all children as much as possible, however due to the nature of productions and suitability to complete some roles, Bath Theatre School cannot offer all students the same level of participation in a production. Similarly, children that join after the production has been cast can only feature in scenes not already set.

  • Production – School Size: Bath Theatre School will strive to offer the most comprehensive theatre experience it can. However, if the number of students is not sufficient to adequately cast or run a full scale production it may be necessary to scale down or remove some staging elements. Similarly, if there is a high number of students it may be necessary for students to share or split roles.

  • Change of Location: Bath Theatre School reserves the right to move any of it’s activities any any time. Bath Theatre School will aim to provide as much notice as possible of any changes.

  • Extended Rehearsals: At times during the year, lessons will be extended to ensure students are sufficiently ready for either their exam of forthcoming production. Families will be informed as and when these rehearsals are scheduled, and it is important every effort is made to attend these extended lessons. There will be no additional charge for these extended lessons.

  • Sickness: In the interests of all students Bath Theatre School is unable to teach any student who has been unwell 48 hours prior to their lesson.

  • Absences – Informing Us: It is the responsibility of parents/guardians to inform Bath Theatre School if a student will be absent from lessons. If a student is absent from classes, no refunds can be provided.

  • Absences Policy: We understand that on occasions absences from lessons are unavoidable and where ever possible we will do our utmost to accommodate these and support children to catch up with the content they have missed. However, due to the standard required for the Trinity exams and production, families should make every effort to ensure children attend all lessons. Absences not only place children at a disadvantage, which can cause anxiety and consequently for them not to enjoy subsequent lessons, but due to the nature of the activities, absences usually have a significant knock on detrimental impact to other children and lesson planning. This prevents Bath Theatre School from ensuring all children are sufficiently rehearsed to take part in the production or to take their exams. Therefore in the best interests of all children the school has a strict attendance policy which requires children to miss no more than 2 lessons per term and no lessons within 6 weeks of the start of the production week or date of the exam. Absences that trigger either of these limits will result in children being involved in a reduced capacity in the production (if they have a part this could result in them having to forfeit this opportunity or if they are in the ensemble they will be in fewer scenes) or being fully withdrawn from the exam or production. It will then be at the discretion of Bath Theatre School if the child can continue as a student. Where membership is cancelled, Bath Theatre School will apply the Membership Cancellation policy (see above). This makes parents liable for lesson payments for a further 6 weeks, or until the end of the current term, whichever is shorter (this is to cover exam, production and other lesson related costs). Leaving lessons early is considered as a full absence.

  • Force Majeure – Bath Theatre School will provide c36 teaching Saturday morning or afternoon sessions as part of a full academic year. However, in the event of circumstances beyond our control which prevent us from running normal lessons, a ‘force majeure’ clause will apply. This relates to, but is not limited to, flood, fire, snow etc. and no replacement lessons will be rescheduled.

  • Student Safety – Accident Book: All accidents will be recorded in the Bath Theatre School accident book and the relevant parent/guardian will be asked to read and confirm they have understood the accident details.

  • Student Arrivals: Parents/guardians must drop off their children 5-10 minutes prior to the scheduled start time. There is no provision for spectators to watch classes.

  • Student Collections: Students must be collected promptly after their teaching session, as there is no provision for late pickups.

  • Student Collections – Safety: Students will only be released to prearranged individuals.

  • Student Clothing & Uniform: All students must wear clothing that is practical and easy to move in. Due to some of the activities involved, clothing may incur some additional ware so clothing should be selected accordingly. All students are required to wear their uniform during lessons and required to purchase their uniform after their fist term at the school. Children with long hair also need to have it tied up during lessons.

  • Refreshments: All students must bring water or squash in a resealable container. No food, sweets or fizzy drinks are permitted.

  • Photography: We are proud of our students and think it is important to record certain activities through the use of photography. Therefore it will be necessary for ALL students to be photographed in some form or another. This will include, but is not limited to, our annual production, associated programme and special events or trips. At times it may also be necessary to use these photographs for publicity purposes which may feature in local newspapers, on our website and as part of other advertising material. Therefore by enrolling, you agree to your child being photographed in relation to any Bath Theatre School activity. Any individuals taking pictures will either be CRB checked or escorted by someone who has been CRB checked.
